About the Team: 

The Central Timetable Unit is responsible for the creation and maintenance of all teaching timetables across the university in partnership with the Colleges and TAFE. The team also manages the booking of teaching spaces for ad-hoc activities and supports the University's Space Planning area in coordinating the impact of building works and room utilisation reporting.

About the Role: 

As a Timetable Officer, you will play a key role in developing and maintaining the University’s class timetables and managing room bookings. Working closely with academic colleges, TAFE, and other stakeholders, you’ll help deliver effective scheduling solutions that maximise space usage and support positive learning environments. 

You will also contribute to space planning analysis, resolve timetable-related issues, and provide support via the University’s Timetable Helpdesk. 

Position Key Duties 

  • Develop and publish biannual class timetables in collaboration with colleges and other stakeholders. 
  • Configure classes for student allocation using the MyTimetable system. 
  • Provide timetable reporting and scenario modelling to support space planning. 
  • Manage room bookings and respond to scheduling queries. 
  • Conduct physical audits of teaching spaces and maintain accurate inventory data. 
  • Liaise with internal teams to minimise disruptions during planned maintenance or capital works

 Position Details  

  • Classification: HEP 6 
  • Salary: $91,796 - $99,361 per annum + 17% employer superannuation 
  • Employment Type: Full-time, Continuing
  • Hours per Week: 36.75 
  • Location: Footscray Park Campus (or other VU campuses as required)

About You:

You will be a solutions-focused professional with a strong ability to manage competing priorities and communicate effectively with a range of stakeholders. You enjoy working in a data-rich environment and thrive on applying systems knowledge to solve complex scheduling challenges. 

To be successful in this role, you will have: 

  • Familiarity with systems used across Student Services & Administration, particularly Student One, Allocate Plus and Timetable Planner. 
  • Demonstrated ability to work with and understand academic programs and structures 
  • High level organisational skills including demonstrated ability to manage complex tasks with competing deadlines as well as to use initiative in order to enhance job results.
