About the Role 

The Coordinator (Reservations and Administration) plays a key role in supporting the day-to-day operation of the ICMS student accommodation portfolio, which provides accommodation for approximately 250+ students across our Manly campus and affiliated residences. 

This role is responsible for coordinating accommodation reservations, room allocations, arrivals, departures, and administrative processes, ensuring students receive a seamless experience from their initial booking through to check-out. 

You will coordinate reservations across ICMS-managed accommodation, including the Manly campus, Claremount Beach House, Wanganella House and future accommodation sites as our portfolio continues to grow. 

Working closely with Accommodation, Operations, Student Services, Finance, Housekeeping, and Concierge, you will ensure enquiries, bookings, and accommodation records are managed accurately while contributing to an outstanding student experience and the continuous improvement of accommodation operations. 

Key Responsibilities 

  • Manage a high volume of accommodation enquiries from prospective and current students, parents, education agents, and other stakeholders, including more complex or escalated requests. 
  • Coordinate room allocations, arrivals, departures, extensions, room moves, group bookings, and special accommodation requests. 
  • Maintain accurate accommodation records within the Property Management System, ensuring the integrity of bookings, occupancy, room availability, financial records, and student information. 
  • Prepare accommodation confirmations, invoices, reports, and student communications with a high level of accuracy and attention to detail. 
  • Monitor occupancy, booking trends, and accommodation utilisation, contributing to forecasting, reporting, and operational planning. 
  • Collaborate with Accommodation, Operations, Concierge, Housekeeping, Maintenance, Student Services, and Finance to deliver a seamless residential experience. 
  • Support operational activities during peak intake, arrival, departure, and room turnover periods. 
  • Contribute to an exceptional student experience from initial enquiry through to arrival, residency, and departure. 
  • Identify opportunities to improve accommodation systems, processes, forms, and documentation, contributing to the ongoing development of a growing accommodation portfolio. 
  • Ensure accommodation activities are delivered in accordance with organisational policies, procedures, and service standards. 
  • Support the wider Accommodation and Operations team with projects and operational initiatives as required. 

About You 

You are organised, adaptable, and passionate about delivering excellent service. You enjoy working in a fast-paced, hands-on environment and take pride in creating positive experiences for students and guests. 

You will bring: 

  • Previous experience in Reservations or Reception in hospitality or student accommodation setting. 
  • Experience using a Property Management System, ideally RMS 
  • Desirable experience using Salesforce or a similar Customer Relationship Management system 
  • Intermediate to advanced Microsoft Office skills 
  • Strong attention to detail and the ability to manage multiple priorities 
  • An understanding of the unique dynamics of the private higher education industry 
  • A proactive, solutions-focused mindset 
  • Excellent written and verbal communication including report-writing 
  • A collaborative approach and the ability to build strong working relationships 
  • Working with Children Check (WWCC)
