What is the job?
We have an exciting opportunity for a proactive and organised Business Support Officer – Finance & Reservations (Full Time) to support the smooth day-to-day running of the hotel. In this entry-level role, you will work across reservations and finance functions, assisting with revenue billing, accounts payable, cash handling, deliveries and daily audit tasks. This is suitable for someone with strong attention to detail and a willingness to learn, who enjoys supporting business operations and being part of a collaborative hotel environment.
Your day to day
Finance Tasks
- Provide reporting and administrative support to internal departments.
- Ensure timely billing of all revenue.
- Maintain well‑organised accounts receivable filing systems.
- Assist with account reconciliations and follow up on discrepancies.
- Respond to and resolve finance‑related account queries.
- Collate and prepare supplier documentation for processing.
- Review invoices to confirm calculations are correct and required documentation and approvals are in place.
- Record and process payments for goods and services in line with hotel procedures.
- Support the storage and organisation of incoming and outgoing materials in accordance with relevant policies.
- Assist Receiving Clerks with recording and reconciling deliveries.
- Contribute to the preparation and analysis of financial and management reports.
- Support the development and maintenance of internal reporting systems.
- Maintain clear communication with external suppliers to support the timely supply of goods and services.
Reservation Tasks
- Respond to reservation enquiries across multiple booking channels.
- Enter and maintain reservation details in Opera PMS.
- Support pre‑arrival communications and associated administrative tasks to enhance the guest experience.
- Manage booking amendments, cancellations, and special requests in a professional and efficient manner.
- Assist with reservations reporting and support data integrity across systems.
- Process chargebacks and issue invoices and receipts within required timeframes.
What we need from you
- A minimum of 6 months’ experience in a hotel or hospitality environment (preferred).
- Qualifications in Hotel Management, Finance, or an Accounting‑related field (preferred).
- A general understanding of hotel operations and the hospitality industry.
- Proficiency in the Microsoft Office suite, with strong skills in Excel and Outlook.
- Well‑developed analytical and problem‑solving skills.
- Strong written and verbal communication skills.
- A collaborative approach, aligned with IHG brand standards, service culture, and values.
- Ability to work effectively in a fast‑paced environment and manage competing priorities.
- Professional, friendly and approachable manner with an excellent phone manner and email etiquette.
- Awareness of workplace health and safety (OH&S) requirements.
- Familiarity with PMS and POS systems (advantageous).
- Monday to Friday office hours (Full Time, however Part Time will be considered).
- Ongoing full working rights in Australia.
- Currently based in Hobart or willing to relocate.
